Older Desktop versions are losing support. But moving to QuickBooks Online should not begin with clicking a migration button. It should begin with making sure the books you are moving are worth taking with you.
For years, QuickBooks Desktop was the workhorse of small business accounting. Plenty of companies still use it, and plenty of perfectly good businesses have perfectly good reasons for doing so.
But the landscape is changing.
QuickBooks Desktop 2023 reached the end of Intuit support on May 31, 2026. That means affected users lost access to services such as live technical support, connected payroll, payments, online bank feeds and critical security updates. Intuit has also stopped selling new subscriptions of Desktop Pro Plus, Premier Plus and Mac Plus to new U.S. customers. Current Desktop 2024 subscribers remain supported, and Enterprise continues as Intuit’s primary Desktop offering. QuickBooks
So no, Desktop did not suddenly turn into a pumpkin at midnight.
But if your company is operating on an older edition, this is a very good time to ask whether the system you have been using for years is still the system you want to carry forward.
Why businesses are moving to QuickBooks Online
For many growing businesses, QuickBooks Online solves some very practical problems.
The books are no longer tied to one computer or one office. Owners, bookkeepers and accountants can access the company file from different locations and work in it at the same time. Bank and credit-card activity can feed into the books automatically. There is less dependence on local servers, manual backups and software installations. And because Online is continuously updated, there is no annual version sitting on the office computer quietly getting older. QuickBooks
For a business owner who spends the day in a truck, on a jobsite, at a customer location or moving between offices, that accessibility can matter.
It also makes collaboration considerably easier.
Your bookkeeper does not need to wait for someone to send a backup copy. Your CPA does not need to work from a file that may already be out of date. The owner can look at current financial information without asking someone in the office to run a report.
That does not mean QuickBooks Online is automatically the right answer for every company. Some larger or more complex businesses may still be better served by a supported Desktop or Enterprise platform.
The point is not to move because everyone else is moving.
The point is to make sure your accounting system still fits the business you have today.
Before you move, clean the house
This is the part that gets skipped far too often.
A migration moves data.
It does not magically improve the data.
If your Desktop file contains years of duplicate vendors, old customer balances, unreconciled bank accounts, incorrect payroll liabilities, inactive accounts that should have disappeared years ago, or transactions nobody quite remembers, moving the file to Online simply gives you cloud-based access to the same mess.
That is why I believe cleanup comes before migration.
Intuit itself recommends checking the Desktop file for data problems before migrating, verifying the company file, reviewing file size and completing other pre-migration preparation. Depending on the company, additional cleanup may also be appropriate before anything is moved. QuickBooks
For a growing trade or service business, I would want to look at things such as:
- Bank and credit-card reconciliations
- Old accounts receivable and accounts payable
- Duplicate or inactive customers, vendors and items
- Payroll and payroll liabilities
- Job and project information
- Inventory, if applicable
- The chart of accounts
- Integrations and connected applications
- Years of historical information that may no longer serve a useful purpose
Think of it this way: if you were moving offices, you probably would not carefully pack every broken chair, obsolete file cabinet and unidentified box that had accumulated in the storeroom since 2007.
Your accounting file deserves the same courtesy.
Migration is more than pressing “Export”
QuickBooks provides migration tools, and technically, many companies can perform the transfer themselves.
But the transfer itself is only part of the job.
Desktop and Online are different platforms. They do not simply mirror one another, and some features and information behave differently after migration. Some items may need to be recreated or reconfigured. Once the move is complete, the Desktop and Online files do not continue to synchronize. QuickBooks
That is where experience matters.
A professional migration should include more than watching a progress bar.
It should start with an assessment of the existing file and a decision about what needs attention before the move. The original file should be safely backed up and preserved. After the migration, the new books should be checked against the old ones.
Profit and Loss. Balance Sheet. Accounts Receivable. Accounts Payable. Opening balances. Inventory, where applicable.

In other words: trust, but verify.
What you are really buying is confidence
The greatest benefit of having someone experienced handle a migration is not that you are incapable of clicking the buttons yourself.
It is knowing what should happen before the button is clicked, and knowing what to check afterward.
You should be able to open the new QuickBooks Online company and know that the numbers you are looking at belong there.
You should know which features changed, what needs to be reconnected, and what your new workflow will look like.
And you should not spend Monday morning wondering whether the $183,000 difference you just discovered is normal.
A good migration should feel rather uneventful.
That is the goal.
Clean books first. Better migration second.
If you are still using an older version of QuickBooks Desktop, you do not need to panic and you do not necessarily need to move tomorrow.
But you should know what version you are using, whether it is still supported, and whether it still makes sense for the way your company operates today.
And if a move to QuickBooks Online is the right next step, do the cleanup first.
Clean books first. Better migration second. Better decisions after that.
